A large share of calibration work does not come directly from the customer. It comes through a consultant or referral agent who manages compliance for several companies and routes their calibration needs to a lab they trust. When that relationship is tracked only in someone's memory or an old WhatsApp chat, two things go wrong: the consultant stops getting copied on certificates they should see, and the lab loses visibility into which consultant is actually driving business.
A calibration LIMS that treats the consultant as a proper record, not a side note, fixes both problems.
What a Consultant Record Should Store
- Name, mobile and email — the contact details used for correspondence and CC.
- Address — useful for outstation consultants who coordinate site visits.
- Status — active or inactive, so a consultant who no longer works with the lab stops appearing in new receipts without deleting their history.
Linking a Consultant to a Receipt
In QuantumCals, a receipt can carry a consultant_id. When the receipt is opened, the consultant's name and email are pulled in automatically, so the team does not need to look them up separately for every job from the same source.
Why This Matters When Sending Certificates
This is where linking a consultant actually pays off. When the lab sends a draft or final certificate by email, the consultant's email is automatically added to CC — unless it is already the primary recipient — so the person who referred the job stays in the loop without the coordinator remembering to add them by hand every time. Get this wrong manually, even once, and a consultant who feels left out of the loop sends their next job to a competitor instead.
Accountability and Reporting
Over a few months, a clear link between consultants and receipts lets a lab manager answer simple but important questions: which consultants are sending the most work, which ones have gone quiet, and which jobs came through a consultant versus directly from the customer. This is the kind of visibility that is nearly impossible to reconstruct from email threads after the fact.
Practical Tips
- Create the consultant record before the first receipt comes in, not after.
- Mark a consultant inactive rather than deleting them, so historical receipts still show who referred the work.
- Review the consultant list periodically — a stale or duplicate entry means email reminders quietly stop reaching the right inbox.
